No centralized license management or visibility across a hybrid environment
With 12,500 employees and nearly as many devices under management, the company was struggling to get a centralized view of their applications. They were also grappling with a large infrastructure of Business Managed Applications (BMA), with no insight into the procurement process or the lifecycle of these applications, making it difficult to optimize license management, costs, and compliance.
Having previously used ServiceNow, the team found that while the tool provided other useful enterprise functions, it did not deliver the SAM capabilities they needed. With decentralized software provisioning across a complex organizational structure, they needed a platform that could deliver insights into applications, procurement, usage trends, costs, and compliance, and enable them to right-size their estate ahead of contract renewals.
The company needed a platform that combined AI-powered software discovery with all features included at no extra cost. With Xensam, they have access to proprietary features including the Microsoft native Azure cloud license portal and pre-built connectors, with no additional modules required, staying compliant and up-to-date as the platform continuously improves.
“Xensam is an innovative, holistic system that includes everything. They’re always improving inside the platform and with no extra cost we get access to every new feature.”
Comprehensive inventory and application lifecycle management
With Xensam’s AI-powered normalization engine and 9,200 agents installed, the company now has a comprehensive inventory of all applications across their IT environment, with more than 5,500 on-premise and SaaS applications recognized. They gained visibility of many previously installed applications with unmanaged licenses. Xensam also provides extensive metadata covering license requirements, release dates, EOL data, and upgrade and downgrade paths, which has been invaluable for compliance and lifecycle management.
“Xensam gives us extensive data on our inventory of assets, usage, and compliance that allows us to follow up on application costs and lifecycle management.”
Active Usage data enabling right-sized renewals
The company uses Xensam’s Active Usage feature to prepare for license contract renewals, calculating both total usage and actual usage (active minutes in-app). This is particularly useful when software contracts come up for renewal, such as their Microsoft licenses, providing accurate data to right-size licensing and improve compliance and audit preparedness.
“With Xensam’s capabilities, we’re able to investigate and assess our license utilization based on Active Usage data prior to renewals.”
Smooth deployment and reliable support
The company experienced a smooth deployment across their organization, with 11 cross-functional users onboarded with minimal friction. Xensam’s support team provides ongoing training and recognition of unique software applications, ensuring nothing falls through the cracks.
“Xensam has a very user-friendly interface. The response time of the system is low, and it’s very easy to use.”
SAM data accessible across the organization
For the first time, software usage data is easily accessible beyond the SAM and IT teams. The IT Security Department now regularly uses the platform to assess security risks and compliance, making the company’s IT environment safer for all.

“Xensam’s support is very good. They have high technical understanding and always give a precise and quick response.”
