Innovation shouldn’t come at the cost of control
Artificial intelligence is changing how modern organizations work. Tools like Copilot, ChatGPT and DeepSeek are transforming workflows, boosting productivity and helping teams move faster. But as AI adoption skyrockets, one thing keeps getting left behind: visibility.
Most companies don’t have a clear view of which AI tools are actually being used, who’s using them or what risks they might introduce. According to Forrester and Gartner, more than half of all AI tools in use today are completely unsanctioned. That’s not just a governance problem. It’s a serious exposure.
The risk you don’t see is the one that hurts the most
New regulations like the EU AI Act are raising the bar for accountability. Organizations are now expected to classify, track and control their AI systems. And the penalties for not doing so? Up to 35 million euros or 7 percent of global turnover.1
The biggest challenge isn’t about enforcement. It’s about discovery.
AI tools rarely show up with a warning label. They’re quietly embedded in existing apps. Installed in browsers. Adopted by teams outside IT. By the time someone notices, it’s often too late.
This is why we built our own AI
At Xensam, we made a deliberate choice. Instead of relying on third-party AI services, we built our own. That gives us complete control over data handling, compliance posture and performance. It also gives our customers a platform they can trust.
When your AI is native, insight is instant. When you own the engine, you own the outcome.
A three-part approach to responsible AI governance
We believe every organization deserves a governance model that is simple, effective and built for how people actually work. Here’s how to get there.
Step 1: Discover
Start by building a complete inventory. Not just of known AI tools, but the ones you didn’t know existed. Look at standalone apps, browser-based tools and AI features hidden inside other software. If it’s running in your environment, you need to see it.
Step 2: Engage
Make governance a team effort. Legal, procurement, IT and business users all have a role to play. Set clear guidelines for which tools are approved and why. Educate teams on risks and best practices. Most people don’t go rogue on purpose. They just want to get their work done.
Step 3: Implement
Build smart processes that make doing the right thing the easiest option. Use a software catalog or portal that gives users access to pre-approved tools. Automate provisioning and compliance checks where it makes sense. And keep everything simple, clear and accessible.
Compliance isn’t a blocker. It’s an enabler.
Good governance doesn’t slow innovation down. It clears the way for it. When teams trust the process, they move faster, not slower. They stop wasting time on workarounds. They focus on building.
At Xensam, we designed our Xupervisor platform to make that kind of clarity possible. Clear visibility. Simple processes. Zero noise.
Because when AI works for you, not around you, everything runs better.
